FlexPerts
Privacy Policy
Platform operated by VIVAHR People Consultants - FZCO
Version 2.3 · Last updated: September 25, 2026
1.Who We Are
This Privacy Policy explains how VIVAHR People Consultants - FZCO, a company licensed by IFZA (International Free Zone Authority), Dubai Silicon Oasis, Dubai, Licence No. 91943, United Arab Emirates, trading as FlexPerts ("we", "us", "our"), collects, uses, shares and protects your personal data when you use the FlexPerts platform, website and applications (the "Platform").
For the purposes of the UAE Personal Data Protection Law, Federal Decree-Law No. 45 of 2021 (the "PDPL"), FlexPerts is the Data Controller of the personal data described in this policy.
If you have any question, or wish to exercise your rights, contact our data point of contact at privacy@flexperts.pro.
1.1The short version
- We collect what you give us to build your profile or your company account, plus how you use the Platform.
- Our software reads CVs and roles and suggests matches. People decide; software suggests. You can object to being evaluated automatically, from your account.
- A masked version of each professional's profile is shown publicly. You can switch that off in your settings.
- Your data is hosted with Microsoft Azure. The specialist providers that read CVs, power search and run our assistant work under written terms that forbid them from training on your data, with protection we have assessed as adequate, and we ask for your consent before your CV or postings are sent to them.
- We do not sell your personal data.
- You can download your data, delete your account and change your preferences yourself, from the Privacy Centre in your account.
2.Scope and the Law We Follow
We process personal data in accordance with the PDPL and other applicable UAE laws, including rules on electronic marketing and the UAE Cybercrime Law.
We follow the PDPL's core principles: we process data lawfully, fairly and transparently; we collect it for specified, legitimate purposes; we limit it to what is necessary; we keep it accurate; we keep it only as long as needed; and we keep it secure.
The Platform is operated from the United Arab Emirates. It is offered for finding and filling flexible work in the UAE and in any other country we name on the Platform as one where it is offered, and it is not directed at people elsewhere.
3.The Personal Data We Collect
| Category | What it includes | Whose data |
|---|---|---|

3.1What we deliberately do not collect
We do not ask for, and the Platform has no field for, your nationality, gender, date of birth, age, marital status or religion. A profile photograph is optional, and it is never shown on the public page described in Section 7.2. We do not collect identity, visa or NOC documents. Where any of the characteristics above appear in a CV you upload, our systems are designed to remove them before the CV is read (Section 5.2 explains how, and its limits), and they are not stored on your profile.
3.2How you interact with our messages and the Platform
We may collect information about how you interact with the messages we send you, such as whether an email was opened or a link in it was followed, and about how you use the Platform. We use this information to operate, secure, understand and improve the service.
When you visit our public pages (not the pages inside your account), we count the visit ourselves, without cookies: we record the page, the website that referred you, your type of device and the country your IP address indicates. Your IP address is used only for that lookup, to recognise repeat visits on the same day and to protect the count from abuse, and is never stored.
4.Sensitive Personal Data
The PDPL gives extra protection to "sensitive personal data", such as data that reveals a person's ethnic origin, religious beliefs or health, and biometric data. We ask for one kind of data that we treat as sensitive, and only with your explicit consent: a screening video, which shows your face and voice and can reveal characteristics such as these, when you choose to provide one for a role that asks for it. It is kept to a strict purpose and a strict retention limit, and it is watched by people, never analysed by an automated system.
We do not ask for any other sensitive personal data. Where a CV happens to mention some, for example a religious affiliation implied by a voluntary role, our redaction removes the categories it can recognise before the CV is read, and our extraction instructions forbid recording protected characteristics on a profile. Because that removal works by recognising patterns, it reduces what is read rather than guaranteeing that nothing slips through. We also design our systems to keep characteristics such as nationality, religion, gender, age, family status and health out of the reasons our AI gives for its suggestions.
5.Automated Processing and Artificial Intelligence
5.1What our systems do automatically
We use automated systems, including artificial-intelligence models operated by third-party providers on our behalf, to:
- read your CV and profile answers and turn them into a structured profile;
- create a numerical representation of that profile so it can be compared with roles at scale;
- read job descriptions posted by Businesses and help Businesses write them;
- score, rank, filter and order professionals against a role and roles against a professional, using both the automated reading above and arithmetic applied to declared facts such as hours, rate, location, work mode and work authorisation;
- write short assessments of how well a professional appears to fit a role, including apparent strengths and gaps;
- run the chat assistant;
- review skills you suggest for our skills library; a skill we add is shown to other users as a library term, never with your name;
- check what you tell us against another source where we offer that and you agree to it, for example a public professional profile whose address you give us, and note where the two disagree; and
- learn from how the Platform is used, for example which suggestions Businesses invite, shortlist or engage, and how people respond to the messages we send, so that we can develop, evaluate and improve our matching, our models, our processes and how we communicate with you.
5.2What we remove before your CV is sent to be read
Reading your CV means sending its text to a third-party service. Before that happens we use automated pattern-matching to remove contact details, yours and those of anyone else the CV mentions, such as a referee (your name and address, every email address and telephone number, and any references section), and personal characteristics (date of birth, age, nationality, marital status, gender, religion, place of birth and any national identity, passport or Emirates ID number). The same removal is applied to the free-text answers of professionals who sign up without a CV.
Your career history stays, because it is the thing being read. Removing the rest means a provider sees your experience without your identity details. A career history can still identify a person on its own, so we treat what is sent as your personal data and every protection in this policy continues to apply to it. The removal works by recognising patterns, so it can miss a detail written in an unusual way. Before your CV's text is sent, you can check what will be read and take out anything the removal missed. When you tell us that it missed something, we keep a note of the pattern it took, which is not linked to you or your profile, so that we catch that shape automatically for the next person.
Where your CV is a scan rather than a text document, reading it means sending pictures of the pages, so everything printed on them goes too, including a photograph if your CV has one. We ask for your specific agreement before doing this, and you can decline and complete your profile by hand instead.
5.3Suggestions are not decisions, and what that means for you
Everything our systems produce about you is a suggestion for a person to evaluate. FlexPerts does not decide who is hired and does not recommend that any person be engaged or rejected; a Business makes its own decision, and it agrees in our Terms not to make a significant decision about you on the sole basis of an automated output. The suitability scores and written assessments our systems generate for Businesses are our working material and are not shown to you as part of your profile or the application process; you may ask for the information we hold about you under Section 10. On roles we suggest to you, you may see a match indicator: a figure calculated from the facts you and the Business have stated, such as hours, rate and location, and from how closely your profile and the role correspond. It is a guide for you, and it is not the assessment a Business sees.
You can always browse roles and apply directly. Your application always reaches the Business, and no score can cause an application to be rejected automatically. Automation does shape visibility: profiles are ranked and ordered, so a Business is more likely to see some profiles than others, and profiles that score below internal thresholds are not proactively suggested, which means you may not be surfaced for a particular role without a person having considered you.
5.4Your right to object
You may object to being evaluated by our automated systems at any time, from the Privacy Centre in your account. If you object:
- our systems stop evaluating you;
- every assessment already written about you is deleted;
- you are no longer proactively suggested to Businesses; and
- you keep full use of the rest of the Platform, including browsing and applying.
We may still order your application in a list using arithmetic applied to the facts you have declared, such as your stated hours, rate and location. That arithmetic infers nothing about you beyond what you typed.
You can also ask a person to look at anything that concerns you, by writing to privacy@flexperts.pro.
6.How We Use Your Data, and Our Lawful Basis
| What we do | Lawful basis |
|---|---|

Wherever practical we use data that has been anonymised or aggregated, and you may object to this use by writing to privacy@flexperts.pro. |
| What we doComply with law and respond to lawful requests. | Lawful basisLegal obligation. |
We will not use your personal data for a new, unrelated purpose without first telling you and, where required, obtaining your consent. We do not sell your personal data, and we do not let any provider use your profile, your CV or your assessments to train its own models.
7.Who We Share Your Data With
We share personal data only as needed to run the Platform.
- Between users. A professional's masked profile is shown to Businesses; identity, contact details and CV are shared only when a Business pays to unlock that profile. Which profiles a Business may unlock, for example professionals who have applied to its role or professionals it finds in search, is set by the Platform and may change. A Business's identity is shared with a professional when the Platform reveals it, for example when they are shortlisted. A message a Business writes about a decision on your application is shared with you. Until the Business has shortlisted you, it must not identify itself in what it writes, and the Platform checks the message for details that identify the Business, as our Terms describe; that check is a best-effort safeguard, not a guarantee. A Business that receives your data acts as a separate and independent controller and is bound by our Terms to use it only to assess you for that role.
- Artificial-intelligence and machine-learning providers, who read, structure, index, score and summarise Content and run the chat assistant, on our instructions, and who may process it outside the UAE. See Section 8.
- Cloud hosting and storage providers, who host the Platform and store your data.
- Payment providers, who take Platform Fees from Businesses on their own secure pages, where a Business also manages its card and invoices. Our payment provider also uses payment data for its own purposes, such as security and preventing fraud, and keeps its own records of payments, including after an account is closed, to meet its legal, tax and fraud-prevention obligations; for those purposes it acts under its own privacy policy.
- Email, communications and security providers, who deliver messages, protect the Platform from attacks and automated abuse, including the check we may ask you to complete when you sign up, sign in or contact us, and may check text that people submit for abusive or malicious content, including hidden instructions aimed at our automated systems, on our instructions.
- Professional advisers and authorities, where required by law, regulation or legal process, or to establish or defend legal claims.
- Business transfers. If FlexPerts, or the company that operates it, is involved in a merger, acquisition, restructuring, financing or sale of all or part of its business or assets, or is preparing for one, your personal data may be shared with the other party and its advisers under confidentiality obligations, and may be transferred to the buyer or successor, who may continue to use it only as this policy allows.
7.1Our current providers
The providers we use, the service each performs and where each processes your data are available on request from privacy@flexperts.pro, and we may also publish the list on our website. We may add, remove or replace a provider at any time; where a change materially alters how your personal data is handled we will update this policy and give notice.
7.2Your profile is visible to the public
Part of your profile is published on a page of our website that anyone can look at, without an account and without signing in. This is how businesses can see the talent on the Platform before they decide to join.
What appears there is masked. You are shown under a reference code, with a single character taken from that code in place of your initials, not your name, and with basic details: your city, your headline, the kinds of work you do, your experience level and years, your working arrangement, how many hours you are available and when you could start.
What does not appear there, at all:
- your name, email address or telephone number;
- your CV, or any file you have uploaded;
- your photograph;
- your rate or salary expectations;
- your visa status; and
- whether you are actively looking right now.
Two things worth knowing:
- Masking protects your identity from strangers, not from people who already know your work. A colleague or a current employer may recognise you from a description of your work, your city and your experience, so keep anything you would not want them to read out of your profile.
- You can turn this off. In your account settings you can choose not to appear on the public page. Doing so changes nothing else: businesses signed in to FlexPerts still find you, and you are still matched to roles exactly as before.
We ask search engines not to index this page and we limit how quickly it can be read in bulk, which keeps your masked profile out of ordinary internet searches. As with any page that is open to the public, a copy that somebody else makes is outside our control.
8.Where Your Data Is Processed
Your data is hosted with Microsoft Azure. The specialist services that read CVs and job descriptions, power search and run the chat assistant may process your data outside the United Arab Emirates; that is how the service works, and every such specialist provider meets two conditions. First, it is bound by written terms under which it processes your data on our instructions and may not use it to train its own models. Second, we have assessed the protection your data has with that provider, in every place where it may process it, as adequate. Some providers, Microsoft among them, may process data in any of their data centres around the world under the same contractual commitments, and our assessment covers those commitments wherever they apply. We do not use a specialist provider whose processing we have not assessed.
The security service that checks sign-ups, sign-ins and enquiries for automated abuse also processes technical data, such as your IP address and browser details, on its international network. It uses that data to run the check for us and, on its own account, to improve how it detects automated abuse.
We may process, and may have our providers process, your personal data anywhere those conditions are met, and we may change providers and countries as our infrastructure develops.
Where we transfer personal data to a country that has not been recognised by the UAE as providing an adequate level of protection, we protect it with the provider's written data-protection commitments, including those above, and with technical measures such as the removal described in Section 5.2.
Where the law requires your consent for such a transfer, we ask for it separately, at the point in the product where the transfer is about to happen, and we record it. You can withdraw it at any time from the Privacy Centre. The processing that depends on it then stops, and we may no longer be able to provide the parts of the Platform that rely on it. For a Business, a withdrawal by anyone who uses the Platform for it pauses the automated processing of all of that Business's postings until the consent is given again at that Business, as the Privacy Centre explains; the postings stay live and keep receiving applications.
9.How Long We Keep Your Data
We keep personal data only as long as necessary for the purpose it was collected for, unless a longer period is required by law.
| Data | How long we keep it | Why |
|---|---|---|
| DataYour account, profile and CV, everything our systems derive from them, your status declarations, the results of any check we make, and your applications, invitations and pipeline history | How long we keep itFor as long as your account is open. Deleted, or irreversibly disconnected from you, when you delete your account. Assessments are deleted immediately if you object to automated evaluation. | WhyTo provide the service, and for that purpose only. |
| DataInactive accounts | How long we keep itAn account that has been inactive for more than 12 months may be closed and its data deleted, after we have tried to contact you. | WhyData minimisation. |
| DataAssistant conversations | How long we keep itUp to 12 months. Signed-in conversations are also deleted when you delete your account. | WhySupport quality and safety. |
| DataScreening videos | How long we keep itA screening video is kept only for the role it was recorded for. It is deleted within 90 days of that role closing, and sooner if you withdraw consent or ask us to. | WhySensitive data; strict purpose limit. |
| DataUnsent application drafts | How long we keep itDeleted a set time after you last worked on them. | WhyData minimisation. |
| DataEnquiries through our contact form | How long we keep itAn enquiry stored on the Platform is kept for no longer than 12 months after we receive it. The copy sent to the mailbox we answer from, and our reply, are kept as correspondence for as long as we need them to deal with your enquiry and any follow-up. | WhyTo answer you and deal with any follow-up. |
| DataPublic-page visit records | How long we keep itThe same-day visit code is erased at the end of the day; the records are deleted within 90 days, and only daily totals are kept. | WhyUnderstanding and improving the service. |
| DataWhat stays after you delete your account | How long we keep itRecords of consent, stripped to the fact of consent, its date and the version of wording shown; billing and transaction records, and audit records of sensitive actions held as identifiers and dates only, for as long as the law requires or we need them for accountability, and no longer than the law allows; and a record that a deletion took place. Our payment provider also keeps its own records of payments, as its own obligations require (Section 7). | WhyProof of consent; UAE commercial and tax law; accountability and security. |
| DataSecurity, rate-limiting and service logs | How long we keep itShort-lived; deleted automatically after a limited period. | WhySecurity and running the service. |
When a retention period ends, or you delete your account, we delete the data from our systems or irreversibly disconnect it from you. Copies held in our backups expire on their own schedule: deleted data is gone from every backup within five weeks, and a deleted file, such as a CV, a photograph or a video answer, within three months.
10.Your Rights
You have the following rights, which include those the PDPL gives you:
- be informed about how we use your data, this policy;
- access a copy of the personal data we hold about you;
- rectify inaccurate or incomplete data;
- erase your data, where there is no overriding legal reason to keep it;
- restrict or object to certain processing, including direct marketing and automated evaluation;
- data portability, receive certain data in a structured, machine-readable format;
- ask a person to review the outcome of any automated processing that concerns you; and
- withdraw consent at any time, where we rely on consent. Withdrawal does not affect processing already carried out.
10.1How to use them
Most of these are available immediately, without writing to anybody, in the Privacy Centre in your account: download your data, delete your account, change your marketing preference, and object to automated evaluation.
The download gives you your side of FlexPerts and says, in the file itself, what is not in it: your CV file, any video answer and the assessments described in Section 5.3 can be requested by email. For anything else, email privacy@flexperts.pro. We will respond promptly, and within any time limit the law sets. You also have the right to complain to the UAE Data Office.
11.How We Protect Your Data
We use technical and organisational measures appropriate to the sensitivity of the data, including encryption in transit and at rest, access controls so that sensitive data is reachable only by those who need it, rate limiting and abuse controls, and contractual data-protection obligations on our providers. In particular:
- server-side masking: data a user is not entitled to see is never sent to their browser at all;
- an audit record of sensitive reads and of support access: every unmasking of a professional's identity, every CV download, and every time a member of our team views an account as its owner sees it in order to help; and
- breach procedures: if a breach occurs that poses a risk to your rights, we will notify the UAE Data Office, and affected individuals where required, in line with the PDPL.
12.Cookies and Similar Technologies
Cookies are small text files placed on your device when you visit a website. In this section, "cookies" also covers similar technologies, such as your browser's local storage. We set only the cookies the Platform needs in order to work, and a few that remember something you did or chose on it. We set no analytics, advertising or tracking cookies today, which is why there is no cookie banner. What we may learn from the emails we send you is described in Section 3.2 and does not use cookies.
12.1The cookies we set
| Cookies | Purpose | Type, and how long it lasts |
|---|---|---|
CookiesSigning in and staying signed in (authjs.session-token, authjs.csrf-token, authjs.callback-url, fp-pending-auth, fp-pending-auth-form, fp-device-trust, fp-signed-in) | PurposeKeep you signed in, hold your place while you enter a sign-in code, protect signing in and signing out against cross-site request forgery, take you back to the page you were on, show the right menu while you are signed in, and, only if you tick "Remember this device", let us skip a second check on that device next time. None of them holds a name or contact detail. | Type, and how long it lastsStrictly necessary. From a few minutes (one sign-in attempt) to at most 60 days. Signing out ends your session, but a remembered device stays remembered until its cookie expires or you clear your browser's cookies, so leave the box unticked on a shared computer. |
CookiesRemembering what you were doing (fp-after-join) | PurposeIf you start to sign up from a particular page, such as a role you want to apply for, remembers that page so we can take you back to it when you have finished. It holds the page's address and nothing about you. | Type, and how long it lastsFunctional. Up to 7 days. |
CookiesRemembering your sign-in choice (flexperts:signin-mode, kept in your browser's local storage) | PurposeRemembers whether you last chose to sign in with a password or with an emailed code, so the sign-in form opens on that choice. It stays in your browser and holds nothing about you. | Type, and how long it lastsFunctional. Until you clear your browser's stored data. |
CookiesThe assistant (fp_assistant_anon) | PurposeLets the chat assistant keep track of a conversation with a visitor who is not signed in. A random identifier that holds no name or contact detail. | Type, and how long it lastsStrictly necessary. Up to 180 days, or until you clear it. |
| CookiesThe security check (set by our security service) | PurposeWhen we ask you to complete a quick security check, such as when you sign up, sign in or contact us, the service that runs it may set a cookie of its own to tell a person from an automated script. See Section 12.3. | Type, and how long it lastsStrictly necessary. Short-lived, set by the provider. |
On a secure connection, some of these names carry a prefix such as __Secure- or __Host-, which tells your browser to give the cookie extra protection.
12.2Your choices
We set two kinds of cookie today: strictly necessary cookies, without which the Platform cannot work or keep you signed in safely, and functional cookies, which remember something you did or chose so that the Platform can do what you asked. None of them is used for analytics, advertising or tracking, so there is nothing to consent to. If we introduce analytics, advertising or tracking cookies, or any other kind beyond these two:
- they will be set only after you have agreed to them, never before;
- rejecting will be as easy as accepting; and
- a persistent "Cookie settings" control will appear so you can change your mind at any time.
You can also block or delete cookies, and clear what websites store in your browser, through your browser settings. Blocking strictly necessary cookies will stop you being able to sign in or use most of the Platform. Blocking functional ones means the Platform will not remember what you were doing or your sign-in choice.
12.3Third-party cookies
We use no third-party cookies for analytics or advertising today. No analytics provider or advertising network sets a cookie or tracking pixel through the Platform's pages, and we do not share cookie data with advertising networks. One third party is involved: a security service that protects the Platform from attacks and automated abuse, including the check we may ask you to complete when you sign up, sign in or contact us. That service may set a cookie of its own for that purpose only; Section 8 describes the technical data it processes.
13.Children
The Platform is intended for people aged 18 and over. We do not knowingly collect personal data from anyone under 18. If we learn that we have, we will delete it and close the account.
14.Changes to This Policy
We may update this policy from time to time. Where a change materially affects your rights or how we use your personal data, we will give you notice before it takes effect, by email or an in-Platform notice, and where the law requires your agreement, for example for a new purpose, we will ask for it. Any other change takes effect when it is published. The "Last updated" date at the top shows when it was last revised; we keep previous versions and a record of which version you accepted, and no change applies to anything that happened before it took effect.

How the automated part works
Clause 5 is about the automated processing behind matching. We publish a plain-English account of what those systems do, what they do not do, and how to ask a person to look at something, so that the explanation is not something you have to request.
